Senior Operations Specialist

Role Description

We are seeking a highly organized, motivated, and independent individual to join our team as a Senior Operations Specialist (1-Year Contract). This role is essential for ensuring the smooth and efficient execution of daily operations, encompassing warehouse management (including inventory control, purchasing, and logistics), customer onboarding support, and administrative HR functions. The successful candidate will be a detail-oriented, proactive problem-solver capable of working independently and collaboratively within a fast-paced environment. This is a non-management role with no direct reports.

Responsibilities 

Operations (70%): 

  • Execute warehouse operations, including receiving, storing, and shipping goods, ensuring efficient inventory control, accurate stock levels and placing orders with suppliers as needed. 
  • Implement and optimize warehouse layout and processes to maximize efficiency and minimize costs. 
  • Maintain relationships with vendors and suppliers. 
  • Participate in annual inventory counts and reconciliation processes. 
  • Familiar with all measurement equipment and how they work with company software. 
  • Manage company assets and equipment. 
  • Assist in customer contract and customer onboarding preparations. 
  • Ensure compliance with Health Canada MDEL (Medical Device Establishment Licence) audits and requirements. 
  • Address operational issues and implement effective solutions. 

Human Resources (30% - Primarily Administrative): 

  • Manage the administrative aspects of the recruitment cycle, including posting job ads, scheduling interviews, and preparing onboarding materials. 
  • Handle employee onboarding and offboarding processes, including paperwork and administrative tasks. 
  • Maintain employee records and ensure compliance with relevant regulations. 
  • Assist with benefits administration and payroll processing. 
  • Provide payroll-related monthly reports to accountant. 
  • Address issues and implement effective solutions. 

Other Duties:

  • Perform other duties as assigned by the supervisor. 

Qualifications

  • Proven experience in a similar role, preferably in a small to medium-sized business. 
  • Demonstrated ability to work independently and manage multiple tasks effectively. 
  • Strong organizational, time-management, and problem-solving skills. 
  • Excellent communication and interpersonal skills. 
  • Proficiency in Microsoft Office.   
  • Experience with inventory management software and warehouse management systems (WMS) is a strong asset.   
  • Knowledge of Canadian employment laws and regulations is an asset. 
  • Ability to take initiative and proactively identify and address operational challenges. 
  • Strong attention to detail and accuracy. 

Reporting:

  • This role reports to the Operations Director and does not have direct reports.
